## Put Marketing automation to work

Many organisations face similar challenges:

- Leads peter out: forms get filled in, but too little happens after, and often nothing at all.
- Data chaos: duplicates, stale contacts, several parallel systems.
- No structured communication: the content exists, but isn’t organised and prepared in an automated structure (such as email workflows)
- No measurable results: you can’t see how well the sales funnel is working, and the return on investment is unclear.
- Tools in place, but the know-how is missing: CRMs, email marketing systems, and campaigning tools have already been purchased, but there’s a lack of time and routine to use them efficiently.

### The good news

Marketing automation works more simply than you might think – and with the tools you already use.

You don’t need to buy new systems. In nearly all cases, automated marketing workflows can be implemented with existing tools, whether that’s Mailchimp, HubSpot, Pipedrive, ActiveCampaign, WordPress forms, or a combination of these.

If a connection is missing, I create one pragmatically with tools like Zapier or n8n. That way you start quickly, avoid tool lock-in, and can grow step by step.

Use cases- **Landing pages, forms & email workflows**: no lead falls through the cracks.
- **Automated lead qualification & follow-up**: every lead is handled appropriately.
- **Paywall and trial triggers**: a conversion turbo for SaaS and subscription models

## Workshop + workflows = 90-Day Pilot

The 90-Day Pilot for marketing automation is ideal for SMEs or larger companies with 5–50,000 contacts that already use tools such as a CRM, newsletter system, or event software, and want to use them more efficiently.

#### Workshop (3–4 hours): the basis for clear decisions

- What’s included: joint analysis of your existing marketing and sales processes, goal definition, and prioritisation of the quick wins.
- What you get out of it: in a short time, a structured overview of your data situation, existing processes, and gaps in the customer journey.
- What you receive: an **automation concept** defining your central workflows, with clear triggers, content, responsibilities, and data requirements.

#### 2–5 ready-to-use workflows – measurable impact straight away

- What’s included: ready-made automation workflows built to best practice, e.g. for project nurtures, event invitations, reactivation campaigns, or B2B campaigns.
- What you get out of it: you can start straight away – your contacts get reached, nurtured, and qualified automatically, without you needing to step in manually each time.
- What you receive:
    - Fully built **workflows** for your tools,
    - **Text modules and microcopy** (subject lines, CTAs, follow-up text),
    - **Form and landing-page blueprints** (including fields, pre-fills, opt-in logic),
    - **Segmentation and trigger logic**, tuned to your tools.

#### Go-live checklist & test scenarios – safely into operation

- What’s included: structured review steps for technology, content, personalisation, mobile display, and GDPR compliance.
- What you get out of it: confidence that all processes work smoothly before launch and that no errors occur at go-live.
- What you receive: a complete **go-live checklist**, field-tested **test cases** and documentation, so you can maintain your automation in-house yourself.

#### Your 90-Day Pilot: how it runs

- Week 1: workshop & data foundation.
- Weeks 2–6: build & test workflows.
- Weeks 7–12: go-live & optimisation.

## Frequently asked questions

How much internal effort does the workshop require? The workshop usually takes 1 to 2 hours of your time for preparation, the workshop itself runs 3 to 4 hours, and 2 to 3 short feedback rounds follow. The effort for implementing the workflows is derived from the workshop.

What content is needed to develop the workflows?Your existing materials (brochures, whitepapers, event information) are usually sufficient – we structure and use them as the content and elements of the automated workflows (landing pages, forms, emails, notifications, etc.).

What sets the 90-Day Pilot apart from other training or onboarding programmes?Within this period you receive ready-to-use workflows and checklists for independent ongoing work, not just know-how. Or to put it differently: with the 90-Day Pilot, things actually happen.

How is GDPR compliance ensured?Data protection and data sovereignty are essential. I therefore strictly follow my clients’ GDPR requirements and apply them across all necessary tools and services. The aim is to ensure GDPR compliance at every entry point into automation, such as forms with double opt-in, documented consent, and auto-deletion of inactive contacts. If a service doesn’t meet the client’s data protection requirements, I look for a suitable alternative. That process can occasionally require extra effort, but it’s an essential part of every project, to keep all data protection rules in place.
